Roonka Cancellation Policy

All cancellations must be confirmed in writing to roonkabookings@sa.scouts.com.au

Bunkhouses, Kitchens and Sole Occupancy bookings

The initial reservation deposit amount is fully refundable if cancellation occurs within 30 days of payment and forfeited thereafter. If cancellation occurs with less than 60 days from date of arrival, the hirer will pay 50% of minimum hire fee. If cancellation occurs with less than 45 days from date of arrival, the hirer will pay 100% of minimum hire fee.

Camping

The initial reservation deposit amount is fully refundable if cancellation occurs more than 30 days from the date of arrival. If cancellation occurs with less than 14 days from date of arrival, the hirer will pay 50% of minimum hire fee. If cancellation occurs with less than 24hrs from date and time of arrival, the hirer will pay 100% of minimum hire fee.

N.B:  A verbal booking is held for one (1) week only. If the office has not received the booking form and deposit within this time, or an extension has not been granted, the booking will be considered cancelled.

EXTENUATING CIRCUMSTANCES POLICY

This Extenuating Circumstances Policy explains how cancellations are handled when unforeseen events beyond your control arise after booking and make it impracticable or illegal to complete your reservation.

When this Policy allows for cancellation, it controls and takes precedence over the above cancellation policy. A full transfer/credit, refund or other consideration will be issued in the following instances:

Declared emergencies and epidemics. SA Government declared emergencies, epidemics, pandemics and public health emergencies and associated restrictions of the time.

Government travel restrictions. Travel restrictions imposed by a governmental agency that prevent or prohibit travelling to, staying at or returning from McBean Pound (Roonka), South Australia.

Dangerous weather conditions. Management declared planned activities or general site unsafe for occupancy due to particularly dangerous weather conditions

Site closure. Roonka Water Activity Centre is closed on days declared with Catastrophic Fire Danger Rating. (see below)

CATASTROPHIC FIRE DANGER SITUATION In the event of a ‘Catastrophic Fire Danger Level’ being Declared, Scouts’ Roonka policy is that we will evacuate or cancel our activities for the next day (if the announcement is made at 4.30pm the day before) and from the point of announcement at any time. In addition to this the local Emergency Authority may order this course of action at any time. In these situations, the Hirer acknowledges that the event/activity/function may be cancelled for these reasons at the last moment (or the day before). Should this occur, the hirer agrees to accept the situation in the interests of their own safety and release the Scout Association / Roonka from all liability. The Scout Association/ Roonka will endeavor to reschedule your booking (if feasible) as soon as possible through negotiation with the Hirer and if this cannot be accommodated, a refund will be provided.
